Position Title:   Chief Operating Officer

Position Overview/Summary:  The Chief Operating Officer (COO) plays a vital role in managing the daily operations of the firm and helping the firm execute on its strategic plan.  The COO directs, administers and coordinates the activities of the organization, from strategy and planning to tactical daily execution of all business processes, in accordance with policies, goals and objectives established by the President and CEO.

Primary Responsibilities:

  • Strategic Leadership
    • Lead, coordinate, and run the firm’s annual strategic off-site meetings, quarterly strategic meetings, and Principal meetings
    • Develop and manage the leaders of managed departments (Operations and Service, Technology, Compliance, Human Resources)
    • Identify and manage the development of the firm’s data reporting needs – including management reporting, benchmarking studies, firm valuation, etc.
    • Assist with the execution of firm-wide strategic initiatives and work policy implementation
    • Assist with the firm’s annual budgeting process
    • Support the goals of all departments through technology, service, operations, compliance, etc.
    • Management of office space, branch locations and future office expansions.
  • Operations/Service/Administration
    • Manage the Director of Operations and support staff
    • Manage and develop strong custodial partner relationships
    • Lead the development of scalable process improvement to meet business needs and growth
  • Technology
    • Strategic leadership of the firms’ IT infrastructure, support and security
    • Develop technology and operational solutions to support and expand the business
    • Develop the IT Manager skills to begin taking additional ownership of technology execution
    • Strategic responsibility for the evaluation, selection and implementation of technology solutions to enhance operational efficiency
    • Technology partner management (contracts, relationship management, issue resolution, etc.)
  • Compliance
    • Business risk management
    • Oversight and management of compliance staff and supervision of all compliance related activities
  • Human Resources
    • Strategic development and training for the Director of HR
    • Oversight and management of HR staff including benefits program, vendor and partnership relations and systems

Critical Knowledge, Skills and Experience:

  • 10+ years of COO experience in the financial services and investment advisory industry
  • Wealth Management/RIA firm operational and support experience preferred
  • Deep knowledge of custodian relationships and service offerings
  • Strategic IT experience including experience with data management: CRM, portfolio accounting systems, order management and re-balancing systems, video conferencing, phone systems and understanding of local, network and cloud-based technology
  • Strong employee management experience
  • Strong project and collaboration management skills
  • Excellent follow-up and follow-through capabilities
  • Organized, meticulous, detail-oriented, and able to multitask
  • Able to exercise good judgment by recognizing urgency and setting priorities
  • Professional attitude, demeanor and appearance with the ability to represent Heritage positively in the community
